Equal Pay Monitor is a service of The Inclusion Studio (Dutch Chamber of Commerce, KvK 63783630), referred to as "we" or "Equal Pay Monitor". This privacy policy explains what personal data we process via equalpaymonitor.com and its linked domains (.nl, .eu, .online), why, and what rights you have.

1. Who is responsible

Equal Pay Monitor / The Inclusion Studio is the data controller for personal data collected through this website. Questions can be sent to info@equalpaymonitor.nl.

2. What data we collect

Via the contact form

If you fill in the contact form, we process: name, organisation, role, number of employees, email address, phone number (optional) and your message. We use this data solely to respond to your enquiry.

Via analytics (with consent)

With your consent, we use Google Analytics 4 to understand how visitors use the website. This uses cookies and similar technologies; use the cookie banner on the website to change or withdraw your preference.

Pay data you supply as a client

If you become a client, you supply us with an overview of roles, salaries and certain characteristics of your employees for the pay gap analysis. For that processing we act as a processor under the GDPR, on your instructions and under your responsibility. This is governed separately by a data processing agreement per engagement. 4. Who we share data with

We use the following service providers, who act as processors on our behalf:

Some of these parties may process data outside the EEA. Where that is the case, we ensure appropriate safeguards, such as Standard Contractual Clauses.

5. Retention

We retain contact form data for as long as needed to handle your enquiry, and no longer than 2 years thereafter, unless a longer period is legally required. Analytics data is retained per Google Analytics' settings (14 months by default). Client pay data is retained per the terms of the data processing agreement.

6. Your rights

You have the right to access, rectify, erase and restrict your personal data, the right to object, and the right to data portability. Contact us at info@equalpaymonitor.nl. You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

7. Security

We take appropriate technical and organisational measures to protect personal data against loss or unlawful processing, including encrypted data transfer (HTTPS) and restricted system access.

8. Changes

We may update this privacy policy from time to time. The most current version is always available on this page.
